Tools I’m Using to Run My ThriveCart-Based Virtual Summit

Running a virtual summit takes more than just great speakers and content.
It requires a well-thought-out system of tools working together behind the scenes. For my latest summit, ThriveCart is at the center of it all— but it doesn’t work alone.
If you're curious how all the pieces fit together, here's a breakdown of the full tech stack I'm using to plan, promote, and deliver this summit experience.
Tools I’m Using to Run My ThriveCart-Based Virtual Summit
Keep in mind that my goal was to use the tools I already use in my business and just add in ThriveCart to pull it all together.
For you, this might look like adding ThriveCart to your Wordpress site, using Convertkit for emails, and hosting your videos for free on Youtube!
The goal is to keep things 'simple' by using what we already know.
Let's get to it.
Kajabi – Registration Pages and Emails
I’m using Kajabi to host my registration pages for the free ticket option. I already have these pages built on my site, and why recreate the wheel?
All email communication is handled through Kajabi. Once someone registers, they are added to the appropriate email sequence and tagged based on their ticket level.

ThriveCart – Checkout, Affiliates, and Content Access
ThriveCart is where all purchases happen. I'm using it to manage:

Checkout pages for paid ticket, including an order bump for access to past summit videos

The affiliate portal for my promotional partners and speakers

Delivery of the event content using ThriveCart Learn+ (which lets you do some extra fun things with tags, which we'll talk about a different day)

ThriveCart Learn+ – Hosting the Summit Content
All event content is housed inside ThriveCart Learn+.
I’ve organized each ticket into the following sections:
- Getting Started
- Day 1
- Day 2
- After The Event
Everything attendees need, including the videos, descriptions, links to freebies and bonuses, as well as our event help desk, are all embedded into the ThriveCart Learn 'course', which they have access to.
If you decide to use ThriveCart, it removes the need for a separate course platform and keeps the delivery seamless.
Zoom – Recording Sessions and Interviews
All of my sessions, speaker interviews, and audio workshops are recorded using Zoom.
It’s reliable, familiar, and easy to use.
So I recorded each one, made any edits needed, and then uploaded them into our Vimeo account for safe keeping.
Google Drive – File Storage and Speaker Submissions
Google Drive is my central hub for files.
I create folders for event speaker to upload their videos and materials, and I use Drive to store my session graphics, promotional assets, and summit documents.
It's simple, searchable, and easy to share with my team.
Plus, it's free- which is always great!
Canva – Creating Summit Graphics
All of my graphics are created in Canva, from speaker promo cards to session thumbnails and social media images.
I'm not a graphic designer and have no interest in trying to be one, so Canva is the tool to use!
I use branded templates to maintain consistency and speed up the design process. It links straight to Google Drive, so I don't even have to download the files and upload them in there- it just zaps those babies over.
Also, it's free... nuff said!
Vimeo – Hosting Videos for the Summit
I upload all recorded sessions to Vimeo and embed them inside ThriveCart Learn+.
We already have a Vimeo account that is stacked with content, so we're just using our current tools here, nothing extra. If you don't use Vimeo- just sub in the video hosting too you do, and as long as you can grab an embed code- you'll be all set!
Vimeo allows me to customize the player, control privacy settings, and keep the viewing experience clean and professional. So I stick with it for the $12 a month!
Zapier – Connecting ThriveCart and Kajabi
To bridge the gap between ThriveCart and Kajabi, I use Zapier.
When someone purchases a VIP Pass in ThriveCart, Zapier automatically sends their information to Kajabi, applies the correct tags, and triggers the appropriate email sequence.
This automation ensures smooth communication and timely content delivery.
I also already use Zapier for other business stuff, so nothing additional here for me, but if this isn't the case for you, I'd use the zap for like 30 days while you have the tickets up for sale, then turn it off.
Hello Audio – Creating the Private Podcast Feed
For attendees who prefer to listen on the go, I use Hello Audio to deliver a private podcast version of the summit.
I import the video files straight from the video URL in Vimeo (you can also do this with YouTube and Google Drive), and then HelloAudio converts them to audio-only files.
You can then provide subscribers with a private link to access the content in their favorite podcast app, which is perfect for people who are busy and wanna listen on the go.

Airtable – Planning and Managing the Event
Airtable is my go-to tool for organizing the summit backend. I
use it to track speaker submissions, content deadlines, email schedules, affiliate details, and task management. It gives me a bird’s-eye view of the entire project and helps keep everything moving...
The tool is free to use, and we use it for every event and client event we touch!
